Job Description

The traffic manager is responsible for the internal scheduling of work throughout the agency. The traffic manager enters all tasks and projects entering the agency, assigns a step-by-step schedule of completion to each of those tasks, and follows the project through from inception to completion. Understanding of project management software and a ticketing system is a must! Under the direction of senior management, the traffic manager coordinates movement of all tasks through all agency departments (account services, research/planning, creative, digital media, web, production, etc).

Each day the traffic manager updates all resources with an active job list, expectations on completion and posts status updates with clients, when necessary. The traffic manager is the liaison between the design team and its clients. They are also responsible for tracking and/or moving tasks and projects through the system from one step of completion to the next.

As changes in timing or scheduling take place, the traffic manager must be informed so an accurate schedule can be produced each day.

Reports to the senior manager.

Primary Duties and Responsibilities:

The Traffic Manager performs a wide range of duties including some or all of the following:

Planning and Intake:

• Define the scope of the project in collaboration with senior management

• Create a detailed work plan which identifies and sequences the activities needed to successfully complete the project

• Develop a schedule for project completion. Enter detailed description of project within project management software, including budget, time allotted, resources and all assets related to that project

• Reviews daily work schedule with senior manager, creatives, production artists, digital media, and web development staff

Implementation:

• Execute the project according to the project plan

• Set up files to ensure that all project information is appropriately documented and resources have the information they require (passwords, images, etc) within Basecamp

• Monitor the progress of the project on a daily basis, make necessary adjustments to ensure successful completion of the project is delivered on time and on schedule. Also publishes a weekly production status report to advise all departments of schedules and job status

• QA and review the quality of work as it is completed. This includes strong attention to detail, understanding layout, grammar, spelling, etc prior to project reaching client

Controls:

• Provide weekly reports and time tracking measurements to both client and resources to ensure that there is adequate time being used for retainer throughout month

• Reviews any Job Change Orders from account manager/clients and updates affected agency personnel

• Reports any problems affecting job quality, due dates and costs to account manager, after being advised by senior manager

• Works with senior manager in selecting vendors, freelancers, suppliers, as needed, based on quality control, budget, timing, etc. Assists senior manager in job estimating, vendor specifications, etc.

Evaluate the Project:

• Ensure that project deliverables are on time, within budget and at the required level of quality

• Evaluate the outcomes of the project as established during the planning phase

The Traffic Manager may also be responsible for the following:

• Assists production manager in coordinating schedules of collateral materials to arrive before final deadlines

• Obtains quotes from art and photo suppliers, freelancers, other vendors as required by production manager

• Archives paperwork for all invoices and licensing agreements

• Issues purchase orders to vendors as requested by senior manager

• Archives and maintains any in-house client mechanicals/original artwork, digital production file backups, and photo files according to the agency archiving process

• Assists with billing and communication with Human Resources & Accounting

Qualifications:

• Bachelor’s Degree in a related subject

• At least 4-5 years experience working in a digital marketing agency

• Knowledge of project management and/or ticketing software

• Highly detailed oriented

• Superior communications skills

• Ability to analyze and solve problems

• Experience managing workflow
