Job Description

Our team is currently seeking highly motivated Contract Coordinator – Vancouver, BC V6B 5A1

Unable to provide sponsorship at this time- Must be willing to work on W2

Start Date: ASAP

Job Title: Contract Coordinator

Must be in Vancouver. Will work remote until offices reopen.

Principle Duties and Responsibilities (Some training provided):

· Review required applications from underwriters, share with sales and present to client

· Review statement of values, schedules received from client

· Polaris (Internal system training provided) - initiate intermediary reactivations SR 29

· Assist in drafting policy audit report at request of AE / BR

· Renewal proposal document – gather all LOBs from various Broking resources and update proposal as required

· Create Polaris SR 9 to renew and invoice policies, and attach documents as per SOX compliance requirements (with binder / quotes)

· Create Polaris SR 23 for an Xpress binder if insurer binder is not received / delayed beyond five days

· Calculate complex premium, fees, adjustments and taxes and create required SRs for processing instructions to the invoicing team.

· Send underlying policies to UMB / XS carriers once checked by BR

· Follow-up with market for signed binders

· Initiate SR 6 for corrections to policy, service or invoice

· Set up physical files for renewal (sales and Broking) – current best practice is this should be electronic file – AonCue / ECM

· Data collection – complete and submit forms to data team

· Assist and collaborate as needed for manuscript wordings, policy review and renewal checklist

· Follow up with carriers for policy documentation (including endorsements midterm), conduct initial check of policy

· Follow-up with underwriter for policy documents

· Review endorsements

· Handle policy and coverage related questions from colleagues issuing certificates of insurance

· Report changes to insurers and secure endorsements to reflect changes in the risk as reported by the AE / BR

· Request / secure driver experience letters from insurers
