Job Description

Nature & Scope:

Reporting to the Executive Contracts Negotiator the Estimating and Purchasing Clerk is primarily responsible for the operation and administration of multiple sites and performs diversified administrative duties.

Major Responsibilities:

- Maintain all internal correspondence and faxes
- Maintain inventory of office supplies and materials
- Follow up with trades on shortage of material
- Process Purchase Orders
- Speak with Site Supers and Trades regarding missing PO’s
- Support all Health and Safety documentation

- Maintain, update, and confirm dates and details of construction schedule
- Manage the PO paper flow
- Prepare estimates of labour and material costs for base house take-offs
- Update and maintain options library
- Update new contracts into Buildtopia. Once contracts are approved, enter and modify Take-off’s if needed.
- Review Scopes of Work and update contracts
- Perform other duties as assigned

Knowledge & Skills:

Education/Training:

- Secondary School Diploma
- 2-3 years experience in administrative field and or estimating
- Experience from another homebuilder is a definite asset
- Valid driver's license

Experience & Skills:

- Professional, mature individual with estimating, purchasing, customer service and interpersonal experience
- Well organized, confident individual with the ability to prioritize work and meet deadlines
- Ability to multi-task in an extremely fast paced working environment
- Strong knowledge of Microsoft Word, Excel and email and able to adapt to new technology with ease. (Buildtopia or Newstar experience a plus)
- Take initiative on tasks

Relationships:

- Internal: Daily interaction with all levels of staff including Construction, Customer Service, Health & Safety, and Production
- External: Regular contact with contractors and suppliers

Working Conditions:

- Generally working in an office environment
- Occasional travel to site may be required
