Retail Project Coordinator

Position Summary

Our Company have an immediate opening for an experienced Retail Project Coordinator. This opportunity requires a results oriented professional, who thrives on accepting new challenges within a fast paced environment.

The Retail Project Coordinator will engage and professionally interact with the design professionals, consultants and clients in order to ensure all projects are completed on time and on budget as well as prepare and coordinate the completion of cost estimates, bids and proposals for clients.

Key Duties, Responsibilities, Skills & Attributes

Responsibilities include, but are not limited to:

- Supervise construction projects from beginning to end, ensuring that projects are completed within time and budgetary constraints;
- Ultimately responsible for ensuring that a profit is made on the project and that the work is performed as per the contract documents;
- Securing of building permits and licenses, when necessary;
- Preparation of the project schedule;
- Review the project plans and specifications and comment on the building design, scheduling, possible cost savings measures and potential construction problems, when required;
- Intelligently communicate with design team/client as well as effectively lead the trades;
- Expedite all shop drawings and approvals, if required;
- Monitor and maintain the project construction schedule;
- Process changes received including contacting the subcontractor for pricing, checking subcontractor quotations to ensure that they are complete and reasonable, and itemizing changes and presenting them to the Architect with confidence that the pricing is in accordance with the changes;
- Monitor site safety and ensure that the requirements of the Occupational Health and Safety Act are enforced;
- Issue progress draws and invoicing to consultant and client including final holdbacks;
- Ensure payment in full for the contract price including all accumulative changes and credits, etc.;
- Ensure timely payment of subcontractor billings;
- Maintain and enforce good construction standards and quality control;
- Control and monitor labour, material and equipment expenses;
- Prepare and expedite project deficiently lists;
- Review of project specifications, drawings, and available information to determine work scope;
- Solicits and maintains communication with subcontractors and vendors;
- Shows creativity and resourcefulness to gain better pricing from subcontractors;
- Preparation of detailed cost estimates;
- Review bid requirements thoroughly and ask follow-up questions;
- Attend on-site pre-bid/proposal conferences and site visits, if necessary;
- Creates bid lists that fit scope of job, ensuring that we have the right subs for the project;
- Consistently follows up on submitted bids and budgets with Architect and/or Construction Manager to close business;
- Awards subs in a timely manner to ensure release of materials;
- Ensures that subs are aware of (and commit to) the project schedule;
- Ensures project schedule commitments are achieved within the financial targets by the team;
- Maintains and tracks billings, reports and projections for entire team;
- Ensure site safety and environmental standards are met or exceeded on all sites.

Required Skills, Knowledge, Qualifications and Experience

- Minimum of 3 years’ experience as a Project Manager or in a similar role
- Familiar with retail construction methodology and practices
- Ability to plan and manage to a project schedule
- Understanding of construction documents and the ability to ensure that they are complete, protects the owner’s interest, clearly define expectations and provide incentive to perform
- Contract negotiating/management skills
- Knowledge of construction costs and budgets
- A track record of building successful teams, effectively motivating people and maintain effective relationships with clients, owner and consultants
- Ability to anticipate stakeholder needs, investigate the underlying causes and identify short and long term solutions
- Facilitator and mentor; moves the team forward in conflict situations
