Position Summary:

We are seeking a highly organized and efficient Executive Assistant to the Vice President who will play a critical role in commercial leasing administration. This individual will provide excellent support to the Vice President and the Leasing/Property Management Team by assisting with commercial leasing, coordinating communications between the brokerage community and the Leasing/Property Management Team and providing timely and accurate organizational assistance as required.

To ensure Covid-19 safety, this position will be remote until further notice with a remote interview process.

Key Responsibilities:

- Coordinating the commercial leasing process
- Participating and providing support to the negotiation of offers to lease, new leases, renewals of existing tenants, etc.
- Drafting written communications, agreements, summaries and reports, and various documentation as required
- Coordinating calls, videoconferences and e-mails
- Tracking and managing communications, requirements and deadlines
- Gathering, summarizing and providing lease and property information as required to various individuals throughout the leasing process
- Keeping track of the commercial leasing process with a keen eye for detail to ensure a smooth and efficient leasing process

- Providing administrative support to the Vice President and Leasing/Property Management Team
- Organization, preparation and management of files
- Drafting letters/emails and agreements
- Arranging exchange of documents
- Managing the Vice President's calendar and deadlines
- Scheduling and supporting internal and external meetings, preparation of meeting agendas and gathering of information required for such meetings, attend meetings and keep minutes as required
- Assistance with general correspondence

- Assist in the marketing process by providing supportive role to internal Team members as well as brokerages
- Work on other special projects as assigned

Skills and Experience Required:

- 3+ years experience as an administrative assistant (experience in a commercial leasing setting highly preferred)
- Exceptional professional English communication skills, both oral and written
- Excellent attention to detail
- Superior organizational and time management skills
- Self sufficient and self motivated - able to identify and predict potential issues
- Proficiency in MS Office, Outlook and Excel
- Able to thrive within a fast paced team environment
