Job Description

A medium-sized, hands-on Construction/Design/Build Company, located in the Summerhill
area, requires a Office Manager/Bookkeeper. This will require regular attendance at the
office and may involve some remote work. Please read the job description carefully and

Job Description:
As a member of a tight-knit team you must accept responsibility for the day-to-day operation of
the office. This pivotal role requires care and concern for all parts of every project. We expect
professional standards and ethics to be demonstrated in all your work.
Potential Projects:
● Prepare and assist with bid documents and contract administration.
● Schedule integration modelling and projected trades/labour requirements
● Filing and administering bid documents and updating changes
Current Projects:
● Integrate new projects into current projects
● Facilitate communications between clients and internal staff
● Process and distribute Change Work Orders
● Itemize and complete Cost Detail Reports
● Ensure that staff, contractors and trades are up-to-date with Municipal and Provincial
certifications
General Administration:
● Reception, customer service and internal meeting administration
● Maintain a digital ‘project based’ accounting system and produce consolidated reports
for internal use
● Process Accounts Payable to a professional standard:
○ Code and enter all payments
○ Send out all payments
○ Reconcile all payments including internal credit card reconciliations
● Process Accounts Receivable to a professional standard:
○ Code and enter all charges
○ Send out invoices
○ Track payments and preparing dunning notices
● Process Payroll of a professional standard:
○ Government Remittances: Source Deductions; HST Returns; WSIB Compliance
● Update current and close-out Manuals
Summary of Qualifications and Skills:
● Demonstrated ability to perform in a fast-moving workplace with efficiency and accuracy
● Demonstrated ability to communicate effectively and diplomatically with clients,
colleagues and contractors
● Education and experience in the construction industry is mandatory (five years
minimum)
● Proficiency in administering Quickbooks, MS Suite (especially Excel) and the
ability to learn and adapt to useful software applications is mandatory
● Enrolment in the The Construction Institute of Canada’s professional development
program or any comparable program, is an definite asset, or any comparable program, is an definite asset
