Summary

Under the CEO’s direction, the Senior Project Manager is responsible for overall project planning, scheduling, budget management, contract negotiations, subcontractor selection, and project accounting. Provides technical direction and ensures compliance with quality standards.

Charting the project objectives and plans, setting performance requirements, and selecting project participants.

Optimizing available resources - labor, materials, and equipment, which are procured cost-effectively.

Oversee and coordinate operations to ensure a project’s efficient progression through to its successful completion.

Develop effective communications and monitoring systems to resolve conflicts and obstacles.

Essential Functions

Scheduling (Air Traffic Control)

-

Like an air traffic controller, you might not know how to fly the planes, but you know where they are in the sky and where they’re going. Nothing slips through the cracks on your watch.

Coordinate with the CEO, Field Manager, client, and subcontractors to prepare a project construction schedule.

-

Clearly document schedule requirements within subcontracts and purchase orders.

-

Review and update the construction schedule weekly.

-

Identify and report schedule impacts/challenges that can potentially delay the project to the CEO and Field Manager.

-

Report appropriately in weekly and monthly meetings with internal and external parties.

-

Ensure schedule delays are documented and addressed in writing with subcontractors.

-

Monitor the process to obtain certificates of occupancy and NYC DOB approvals within the project timeline.

Budget

-

Review Invoices for accuracy, approve and monitor the progress of approvals to assure timely payment of vendor invoices and subcontractor draws.

-

Rigorously review contract documents to ensure cost-effective building practices and constructability.

-

Negotiate pricing and terms with subcontractors and suppliers.

-

Prepare scopes of work and estimating to solicit project bids. Review and qualify the bids before awarding subcontracts and advising unsuccessful bidders.

-

Maintain strict budget adherence, based on the monthly forecast, and update the project budget weekly.

-

Provide accurate and timely cost projections based on current information. Advise project team of any potential budget impacts.

-

Investigate cost-saving methods, materials, and procedures.

Quality

-

Evaluate the project for possible hazards and risks.

-

Maintain strict adherence to the quality standards and record keeping.

-

Create project-specific contract specifications and scopes of work.

-

Identify and ensure all warranty documents are obtained and conform to various contract requirements and project specifications.

-

Responsible for reviewing reports and document closure to any issues identified by consultants or inspectors.

-

Ensure third-party consultants and design team provide appropriate site inspections and report compliance with project documents.

Management

-

Procure, receive, track, review, distribute, and seek approval of shop drawings, submittals, and RFIs.

-

Lead the preparation and organization of all presentation and construction documents, including but not limited to bids, hand-drawn perspectives, and renderings by an external architect, floor plans, elevations, sections, wall sections, details, interior elevations, electrical plans, subcontractor agreements, and insurances.

-

Maintain the submittal log showing items submitted, date submitted, date approved, and date returned to subcontractor. Expedite the approval process so as to not delay job progress.

Prepare and manage documents for meetings associated with the project.

-

Communicate with the Field Manager daily regarding problems that may arise.

-

Serve as a key link with the clients and review the deliverable prepared by the team before passing it onto the client.

-

Obtain, assemble, distribute and file all as-built drawings, warranties, certificates of occupancy, and final lien releases for the project.

-

Obtain, organize and file all documents needed for the owner’s close-out manual.

-

Ensure that all subcontracts and proper certificates of insurance are executed and filed prior to commencement of work by any subcontractor.

-

Ensure that all performance and payment bonds or letters of credit, if required, have been filed or received.

-

Ensure all performance and payment bonds are released as required.

-

Prepare and distribute monthly owner’s reports.

Requirements

Education

-

Bachelor’s degree in Construction or Civil related field (e.g. Civil Engineering, Construction Management, Construction Engineering) preferred or equivalent relevant experience. For example, a highly competent Project Manager from another field (e.g. Tech) could be successful in this role.

Experience

-

Preferred 5+ years experience in high-end residential construction projects.

-

Stable employment history with a proven track record of results.
