Position: Administrative Assistant

A. Accounting, Bookkeeping and Record-keeping

1. Entering data into databases and keep databases updated:

a. Client Lists

b. Office Expenses

c. Records of receipts and bills paid

d. Records of invoices and statement of accounts

2. Create Invoices, deal with outstanding invoices, keep track of Invoices and record Invoices in PC Law

3. Bank Runs

4. Keeping good records of inflow and outflow of funds

B. Receptionist Tasks

1. Receiving and greeting Clients and Visitors

2. Answering, Screening and forwarding phone calls: including taking down phone messages and voicemails and advising the appropriate firm member of such call by email as soon as the call is finished

3. Booking appointments, confirming meetings and appointments including setting up Microsoft Teams

4. Updating calendars with closing dates, requisition dates, meetings and other deadlines

C. Other

1. Administrative Support for Legal Work

a. Fee Quote Estimates

b. Engagement Letters

c. Compiling Reporting Letters and Closing Packages

d. Undertakings and Post-Closing items

2. Ensuring office is clean and tidy and ready for visitors and clients
