Member Support Services (MSS) Assistant & Office Receptionist

Position: Full-time, Continuing Contract

In this role, you will respond to inquiries from our individual members; organize virtual (e.g. Teams, Zoom) meetings; enter online data; coordinate the travel arrangements of senior staff; create document templates for the senior management team; and liaise with our chapter contract teams. Your role is focused on support for our members and the important work they do. The successful candidate will also perform office reception duties to support the work of our team.

The MSS Assistant directly supports the work of the Directors of Member Support Services. The Directors of Member Support Services provide employment relationship support, benefits support and confidential guidance to our 2,600 members across the province.

We are seeking a candidate with:

Administrative training and/or prior administrative support particularly in Windows environment

A general knowledge of human resources practices is an asset

Demonstrated experience in supporting multiple senior members within a leadership team

Demonstrated experience working with Office 365 and data entry

Demonstrated experience working with Content Management Systems for the support of website content, communication templates, and the coordination of contact databases

Knowledge of public education and the roles of Principals and Vice-Principals as school leaders is an asset

The MSS Assistant supports the delivery of the strategic objectives
Our ideal candidate will demonstrate a high level of skill and proficiency in the following areas:

Administrative Support:

The demonstrated use and understanding of Office 365, with an emphasis on scheduling, coordination, and organization. The demonstrated use and understanding of Content Management Systems and databases

The demonstrated use and understanding of digital communication/networking technology, and effective practices in using email, word processing, spreadsheet, and presentation software at an advanced level in a Windows environment

Communications and Organization:

Strong written communication and editing skills, and the ability to communicate effectively both verbally and in writing while maintaining a high degree of accuracy and attention to detail

The ability to compose correspondence, reports, presentations, and other written materials using clear concise business English while adapting style and approach to a variety of audiences

The ability to conduct reviews and to collect, analyze and summarize data with a high degree of accuracy, particularly legal and contractual documentation

An understanding in human resources practices, short-term and long-term disability programs

The demonstrated ability to support different members of a team, manage schedules, organize in- person and virtual meetings, and coordinate both small- and large-scale events up to several hundred participants

Specific Roles and Responsibilities:

Provides support directly to the Directors of Member Support Services

Provides support to the President and Executive Director as requested

Provides support for ongoing initiatives, and coordinating activities to better support the employment relationships of members

Design and Material Creation: Responsible for designing and producing effective and visually appealing communication materials and digital assets as assigned by the Directors of Member Support Services and in cooperation with the Director of Communications

Analytics and Monitoring: Responsible for tracking analytics and undertaking monitoring activities and under direction of the Directors of Member Support Services, researching and collating information of importance to the senior staff, the BCPVPA Board of Directors and members

Events: Responsible for supporting the creation and successful execution of events that may include staff meetings, member events, conferences, orientations, exhibitions, and partner events

Support: The successful applicant will also be responsible for office reception duties as part of the role

Teams: Responsible for actively participating in all Association events and activities as required

This position is based at the office in Vancouver, BC, but may require the successful applicant to work remotely based on evolving health protocols in the Coastal
Health region.

The hours for this role are generally 8:00am – 4:00pm Monday to Friday, but some evening and weekend work may be required.
